Photography Quote Template — Free & Fillable

Couples compare photographers on what’s included, not just the total. This template starts with a real wedding quote — coverage by the hour, a second shooter, an engagement session, the gallery, an album and travel — with retainer and copyright terms already written.

What goes on a photography quote

Coverage first, in hours per shooter, then sessions, then what the client receives — gallery, albums, prints — then travel and pass-through fees. Listing the gallery at $0 is deliberate: it shows the deliverable, not just the time.

How to price a photography job

Price coverage by the hour with a minimum, and build packages from those same lines so a couple can see what adding two hours or dropping the second shooter actually does to the total. Itemized packages close faster than three mystery bundles.

Your hourly rate has to cover the editing, culling, client calls, gear and insurance behind every shooting hour — often three or four hours of work for each hour of coverage. Price from that, not from what other photographers in your area post.

Keep products — albums, prints, wall art — on their own lines. They’re often taxed differently from services, and separating them makes upgrades an easy yes later. For commercial clients, license usage separately with a defined term.

Deposits and payment schedule

Weddings and events are booked on a retainer that holds the date — 30–50% is common — and the balance is due shortly before or after the event. Portrait sessions usually take the session fee up front and invoice the print or album order after the viewing. Call it a retainer and say whether it’s refundable or transferable.

Retainers, copyright and usage

State that the retainer is non-refundable (and whether it can move to a new date), when the balance is due, and your delivery timelines — sneak peeks, full gallery, album. Give your quote a short hold period; seven days is common, because you’re turning other couples away for that date.

Spell out copyright: you keep it, and the client gets a personal print release. For brand and commercial work, put the license scope (web, print, ads) and term on the line itself. If you share images on your site or social, say so and offer an opt-out.

Frequently asked questions

How do photographers write a wedding quote?

List coverage hours for each shooter, any sessions (engagement, rehearsal), the deliverables (gallery size, albums, prints), travel and fees, then the retainer and balance terms, delivery timelines and copyright. Itemizing lets couples adjust hours or add an album without you rebuilding the quote.

Retainer or deposit — what should a photographer call it?

Most photographers use “retainer” and state that it’s non-refundable because it reserves a date they’ll turn others away for. Whatever you call it, write the refund and transfer terms on the quote.

Should prints and albums be on a photography quote?

Yes, as separate lines. It shows the client what’s included, makes upgrades easy, and keeps products separate from services for sales tax in states that treat them differently.

How long should a photography quote hold the date?

A short hold is normal — often seven days — because a popular date may have other inquiries. Put the hold period on the quote and release the date if the retainer isn’t paid by then.

When the job is done

An approved quote becomes your invoice — same lines, same numbers. Grab the photography invoice template, or open the invoice generator and bill what you quoted. Not sure which document you need? Read estimate vs. invoice.
