What to put on a mechanic invoice

Mechanics itemize labor by the hour and parts at cost-plus, with a diagnostic fee often waived if the repair is approved. Keep labor and parts on separate lines, add sales tax where it applies, and reference the vehicle and any authorization on the invoice.

Example line items for mechanic work:

  • Diagnostic / inspection — 1 @ $90
  • Labor (3.5 hrs) — 3.5 @ $110
  • Parts (brakes, fluid) — 1 @ $240

Every complete invoice also needs your details, the client’s, a unique invoice number, dates, and clear payment terms — see the full invoice checklist, or read how to invoice a client.

Frequently asked questions

Do I separate labor and parts?

Yes — separate lines (and often separate tax treatment) make the invoice easy to read and clean at tax time. List the labor hours and rate, then parts as their own line.

Should I show the diagnostic fee?

List it as a line item, and if you waive it when the customer approves the repair, show it then discount it so the goodwill is visible on the invoice.
