Cleaning Estimate Template — Free & Fillable
Cleaning quotes are priced by home size and condition, with an add-on menu for the extras that eat time. This template starts with a real move-out clean so the base price, add-ons, deposit and cancellation terms are already in place.
Make your cleaning estimate
Prefilled with a sample move-out clean, 3 bed / 2 bath — every line, the terms and the notes. Change the quantities and rates to your own, add your logo and the customer’s details, and download a clean PDF. No signup, no watermark.
What goes on a cleaning estimate
One base line for the clean itself — described by home size and the team doing it — then each add-on as its own line, then any surcharges. Customers like seeing the base and choosing extras; it also makes it obvious what wasn’t included.
| Line item | How it’s priced | Example |
|---|---|---|
| Recurring clean | Flat per visit, by home size | Bi-weekly 4 bed/3 bath $185 |
| Deep or move-out clean | Flat, by size and condition | From ~$350 |
| Hourly rate | Per cleaner-hour | $60 |
| Add-ons | Per item | Oven $45 · fridge $40 · cabinets $60 |
| Windows and blinds | Per window / per blind | $8 / $12 |
| Post-construction | Per sq ft or per phase | $0.32/sq ft |
| Heavy-condition surcharge | Flat | $95 |
| Floor care | Per sq ft | Strip and wax $0.55/sq ft |
Example prices come from the Sparkle & Co. Cleaning demo price book (Sacramento, CA). Your market, crew and suppliers will differ — use them for structure, not as a rate card.
How to price a cleaning job
Quote a flat price by home size (bedrooms, bathrooms, square footage) and condition, but build it from cleaner-hours: a team of two for three and a half hours is seven cleaner-hours at your rate, plus supplies and drive time. Flat prices are easier to sell; the hours keep them profitable.
A first-time deep clean should cost more than a recurring visit — there’s months of build-up to get through. Price recurring service by frequency (weekly cheapest per visit, monthly the most), and say on the estimate that the recurring price assumes the deep clean happened first.
Keep a fixed add-on menu — inside oven, inside fridge, interior windows, cabinets, laundry — with set prices. It makes quoting fast and stops “while you’re here” requests from becoming free work.
Deposits and payment schedule
Recurring clients are usually billed monthly (often by card on file), with the visit count varying between four and five depending on the month. One-time deep, move-out and post-construction cleans commonly take a 25% deposit to hold the date. Office janitorial runs on a monthly contract.

Cancellations, re-cleans and exclusions
Put your cancellation policy on the quote — for example, a $75 fee inside 48 hours — and a satisfaction window: tell us within 24 hours and we’ll come back and re-clean it. The window protects you as much as the customer, because it puts a time limit on complaints.
List what’s excluded: moving heavy furniture, biohazards, mold remediation, anything above eight feet. Note that water and power must be on — a move-out clean in a house with the utilities shut off is a wasted trip.
Frequently asked questions
How do I price a cleaning estimate?
Estimate cleaner-hours from the home’s size and condition, multiply by your hourly rate, add supplies and travel, and present it as a flat price. Then add extras from a fixed add-on menu. Re-check the first visit against your estimate and adjust recurring pricing if needed.
How do I quote a move-out clean?
Price it like a deep clean of an empty home: a base line by size, plus the items move-outs always need — inside appliances, windows and tracks, blinds, wall spot-cleaning, garage. Note that utilities must be on and that heavy-condition surcharges apply if the place is worse than described.
Should recurring cleaning cost less per visit than a one-time clean?
Yes. Regular visits keep the home maintained, so each one takes less time. Price weekly lowest per visit, then bi-weekly, then monthly — and require a first deep clean before the recurring rate starts.
What should a cleaning quote exclude?
Anything you won’t do or price separately: moving heavy furniture, biohazards, mold, exterior windows, work above eight feet, and laundry or dishes unless they’re listed as add-ons.
