What goes on a HVAC estimate

Group the estimate in the order the job happens: removal and recovery, installation, commissioning. Then the equipment — one line per component, with the model number in the description — followed by the accessories (line set, pad, disconnect, thermostat) and the permit. If there’s a rebate, it goes after the equipment as a negative line.

How to price a HVAC job

Replacement estimates live or die on equipment. Put the brand, model number, tonnage and efficiency rating on every equipment line. A homeowner comparing three bids can’t compare “new A/C system” to “new A/C system,” but they can compare a matched 16 SEER2 system to a 14.3 SEER2 condenser on an old coil.

Size from a load calculation (Manual J), not from the nameplate on the old unit — and say so on the estimate. The old system may have been oversized for 25 years. Then consider sending good/better/best: a single-stage option, a two-stage mid-tier, and a variable-speed or cold-climate heat pump top tier. A choice turns “yes or no” into “which one.”

Price labor as crew hours with separate rates for removal, install and commissioning. The commissioning line — gas pressure, static pressure, superheat and subcool, a CO test — is where you show the homeowner the steps a lowball bid skips.

Deposits and payment schedule

For system replacements, 30% on approval is common — enough to order matched equipment and file the mechanical permit — with the balance due at start-up. Repairs and tune-ups are invoiced on the spot. If you offer financing, put it on the estimate with the threshold (for example, systems over $4,000); it changes which tier people pick.

Permits, rebates and warranty

Replacements need a mechanical permit; list it, and note that refrigerant is recovered by EPA 608-certified technicians. Show any utility rebate as its own negative line so the gross price stays honest, and state that the amount is set by the utility and confirmed after install — you don’t want to be the one who promised it.

Most manufacturers only give the long parts warranty if the equipment is registered within a set window after install. Say you register it, and list your labor warranty separately. Add a line for hidden conditions: duct or electrical problems behind walls are quoted before you go further.

Frequently asked questions

How do I write an HVAC estimate for a full system replacement?

Break it into removal, installation and commissioning labor; list each piece of equipment with brand, model, tonnage and efficiency; add the line set, pad, disconnect and thermostat; then the permit. Note the load calculation you sized from, and send it with a validity date — 30 days is typical because equipment prices move.

Should I show the utility rebate on an HVAC estimate?

Yes, as a separate negative line after the equipment, labelled as an estimate set by the utility. The homeowner sees the incentive, your gross price stays accurate, and nobody is surprised if the final rebate differs.

How do I quote good, better and best HVAC options?

Build three estimates (or three option blocks on one) that share the same labor and accessories and change only the equipment tier. Keep the names plain — “Single-stage,” “Two-stage,” “Variable-speed heat pump” — and let the efficiency and warranty differences do the selling.

What does an HVAC diagnostic fee cover?

Dispatch, a full system diagnosis and written findings. Put it as the first line on the repair estimate; many shops credit it against the repair if the customer approves the work the same day.

When the job is done

An approved estimate becomes your invoice — same lines, same numbers. Grab the HVAC invoice template, or open the invoice generator and bill what you quoted. Not sure which document you need? Read estimate vs. invoice.
