HVAC Invoice Template — Free & Fillable

An HVAC shop sends three very different invoices: the one a tech hands over at 11 p.m. after getting the heat back on, the final bill on a system replacement after the deposit and the rebate, and the twice-a-year charge for a maintenance agreement. This template starts with the first — the hardest one to get right on a tablet in a basement — and the guide below covers all three.

Make your HVAC invoice

Prefilled with a sample after-hours no-heat repair — every line, the terms and the notes. Swap in your own quantities and rates, add your logo and the customer’s details, and download a clean PDF. Credits like a deposit received go in as a negative rate. No signup, no watermark.

The HVAC invoices you’ll actually send

Service and repair calls

Diagnostic or dispatch fee first, then labor in hours (with the after-hours rate on its own line when it applies), then every part by name. Invoice before you leave — the customer just watched you fix it, and that is when they pay fastest. If you credit the diagnostic fee toward an approved repair, show the fee and the credit as two lines instead of quietly dropping it, so the goodwill is visible.

System replacement final invoice

Repeat the approved proposal line for line — removal, install, commissioning, each piece of equipment with its model number — then subtract what has already been paid. The deposit and any instant utility rebate come off as their own lines, and the invoice ends on the balance due at start-up. Attach the commissioning report and the warranty registration confirmation; both are what the homeowner will look for in ten years.

Maintenance agreement billing

A club or agreement invoice names the visit and the period (“Comfort Club tune-up — spring”), what it covered, and the member perks applied. Commercial preventive maintenance is usually billed per unit per quarter, with the findings report attached and any repairs quoted separately — never added to the PM invoice without approval.

Example prices come from the Northwind Heating & Air demo price book (Minneapolis, MN). Your market, crew and suppliers will differ — use them for structure, not as a rate card.

Final invoice on a replacement: deposit and rebate

The furnace and A/C replacement from the HVAC estimate template, invoiced at start-up. The proposal total doesn’t change; what changes is what has already been paid and what the utility is paying.

Approved proposal — removal, install, commissioning, equipment, line set, permit $15,965.00
Utility rebate, applied at install (paid to us by the utility) −$650.00
Deposit received at approval (30%) −$4,789.50
Balance due at start-up $10,525.50

Two habits keep this clean. Bill the gross equipment price and show the rebate as a credit, so if the utility reduces or rejects it you can rebill the difference without rewriting the invoice — and decide, in writing on the proposal, who absorbs it if that happens. And reference the deposit by its own invoice number and date so the customer’s records match yours.

Payment terms, late fees and financing

Service calls are due on the spot or within a short window — Net 15 is a common ceiling, and a card reader in the truck makes most of them due-on-receipt in practice. Replacement balances are due at start-up, not 30 days later: write “due at start-up” on the proposal and the invoice rather than a Net term.

A 1.5% monthly service charge on past-due balances is common in the trade, but rules on late fees and interest vary by state, and many require the charge to be agreed in writing before the work. Put it on the proposal as well as the invoice.

Financed systems are paid by the lender, usually after the customer signs a completion certificate. Your invoice still matters: it’s the document the lender funds against, so the equipment and model numbers have to match the approved application.

Warranty registration, refrigerant and sales tax

Most equipment makers only extend the long parts warranty — often 10 years — if the equipment is registered within a set window after install, commonly 60 to 90 days. Register it before you send the final invoice and put the confirmation on it. State your own labor warranty separately, and when it starts (the invoice date is simplest).

List refrigerant by the pound with the type, and note that recovery was done by an EPA Section 608-certified technician. Sales tax on HVAC work depends on the state and on whether the job is a repair or a capital improvement: in many states a replacement is an improvement to real property, where the contractor pays tax on the equipment rather than charging it, while repairs and parts may be taxable. Check your state’s rules before adding a tax rate in the generator.

General information, not legal or tax advice — rules differ by state and change over time.

Frequently asked questions

What should an HVAC invoice include?

Your business and license details, the customer and service address, the date and a unique invoice number, then the work: diagnostic or dispatch fee, labor hours and rate, each part by name, refrigerant by the pound and any permit. Add what you found, the warranty terms, payment terms and any late-fee policy. For replacements, add model and serial numbers and subtract the deposit already paid.

Should I put model and serial numbers on an HVAC invoice?

On replacements, yes. Model numbers prove you installed what was quoted — and what the rebate and any financing were approved for — and serial numbers are what the homeowner needs for a warranty claim years later. On repairs, naming the part (“45/5 MFD dual run capacitor”) is enough.

How do I invoice a diagnostic fee that’s credited toward the repair?

Show the fee as a line, then the credit as a negative line (“Diagnostic fee credited — repair approved”). The customer sees the value you gave up, and if they decline the repair you invoice the fee alone.

How do HVAC companies bill maintenance agreements?

Either per visit, with spring and fall tune-ups invoiced as they happen, or as an annual or monthly membership charged to a card on file. Name the period and the visit on each invoice, list member perks like a repair discount, and put repairs found during the visit on their own approved invoice.

When is the balance due on an HVAC system replacement?

Usually at start-up and commissioning — the day the new system is running. Put “balance due at start-up” on both the proposal and the final invoice instead of a Net 30 term, and collect before the crew leaves if you can.

Before the invoice: the estimate

Quoting the job first? The HVAC estimate template is prefilled with a real furnace and A/C replacement, with deposit terms and the fine print written — approve it, do the work, then bill it here with the same lines. Not sure which document you need? Read estimate vs. invoice, or the full invoice checklist.
