Pool Service Invoice Template — Free & Fillable

Most pool invoices are monthly route bills that change every month — four visits or five, more chlorine in a heat wave, a filter clean, the pump seal the tech replaced on Thursday. This template starts with a real five-visit month, chemicals listed as used and a repair at the weekly-customer rate, so the customer can see why this month cost what it did.

The pool service invoices you’ll actually send

Monthly route invoices

Weekly service billed once a month — a flat monthly rate, or per visit with the number of visits in the month (four or five) on the line. Chemicals are either included or billed as used; whichever you choose, say it on every invoice. Extras like a filter clean or salt get their own lines.

Repair and equipment invoices

Repairs are invoiced when the work is done: diagnostic call, labor, parts by name. Equipment swaps — pumps, heaters, filters — list the unit by model, the fittings, bonding and any permit, and mention the manufacturer warranty that depends on professional installation.

Project and commercial invoices

Green-to-clean recoveries, drain-and-acid washes and replasters get itemized project invoices with chemicals by quantity and return visits; replasters credit the 40% deposit on the final. Commercial and HOA pools bill monthly for several visits a week, with the chemical log and health-inspection items listed.

Why the monthly bill moves

The same customer, two different months. A flat rate hides these swings; per-visit and as-used billing shows them — which is exactly why the invoice has to explain them.

A 4-visit month in mild weather — 4 visits + $44.50 of chemicals $212.50
This 5-visit month in a heat wave — 5 visits + $82.50 of chemicals $292.50
This month’s extras — filter clean and pump seal repair $256.50
Invoice total for this month $549.00

If customers push back on the swings, offer a flat monthly rate with a normal level of chemicals included and anything above it billed as used. Either way, put the rule on the invoice — “chemicals billed as used, see photo reports” — so the number is never a surprise.

Payment terms and autopay

Monthly route billing works best on autopay: charge the card or bank account on file on the 1st for the month just ended (or in advance, for a flat rate). Customers who pay by invoice should get it on the same date every month, with a short term like 15 days.

Say in the service agreement what happens when an account is past due — pausing service after a set number of days is common — and only add a late charge such as 1.5% a month if the agreement allows it; state rules on late fees vary.

Repairs are due on completion or within the same 15 days. Weekly customers often get a discount on repair labor; show it on the line, because it’s a reason to stay on the route.

Working out what an overdue balance has accrued? Use the late fee calculator, or see Net 30 and other payment terms explained.

Photo reports, warranties and sales tax

Attach or link the photo report for each visit. It’s your proof of service if a customer questions a visit, and the chemistry record if the water turns. For commercial pools, keep the chemical log and any health-inspection corrections on or with the invoice.

Sales tax depends on the state: in many, service labor isn’t taxed while chemicals, parts and equipment sold are; others tax pool maintenance as a service too. Keeping labor, chemicals and parts on separate lines is what lets you tax them correctly — check your state’s rules.

General information, not legal or tax advice — rules differ by state and change over time.

Frequently asked questions

What should a pool service invoice include?

Your business details, the customer and pool address, the service period, the number of visits and the rate, chemicals (included or as used), extras like filter cleans, repairs with parts by name, payment terms and your autopay option. A link to the visit photo reports helps.

Should pool chemicals be included in the monthly price?

Either model works. Included chemicals make the bill predictable; billing as used protects your margin when usage spikes. Many companies include a normal amount and bill above it. Whatever you choose, say it on the invoice every month.

How do I bill a five-visit month for pool service?

If you bill per visit, the five-visit month costs more and the invoice should show the visit count. If you charge a flat monthly rate, it’s averaged across the year and five-visit months cost the same — put that in your service agreement.

How do pool companies handle late payments?

Autopay prevents most of them. For invoiced customers, set a due date (often 15 days), state any late charge your agreement allows, and pause service after a set period past due — and say so in the agreement before it happens.

Before the invoice: the estimate

Quoting the job first? The pool service estimate template is prefilled with a real variable-speed pump install, with deposit terms and the fine print written — approve it, do the work, then bill it here with the same lines. Not sure which document you need? Read estimate vs. invoice, or the full invoice checklist.
